Terms of use

Effective 3 October 2026

The formal part: ChairPlanner (chairplanner.com) is a free seating planner for weddings and events, provided by wondertroy, an independent developer based in Australia (“we”, “us”). By using ChairPlanner you agree to these terms. If you don’t agree, please don’t use it. How we handle information is explained in our privacy policy.

Provided as is

ChairPlanner is provided free of charge, “as is” and “as available”. To the maximum extent permitted by law, we make no promises or warranties that it will be error-free, always available, secure from every threat, or suitable for any particular purpose, and we may change, suspend or stop any part of it at any time.

You check the final plan

Seating suggestions, automatic arrangements, dietary summaries, printouts and anything produced with an AI assistant are aids only. Please review them before your event. ChairPlanner doesn’t check venue capacity, fire or safety requirements, accessibility, or that every guest’s allergy or dietary need is correctly recorded and passed on to your caterer — that remains your responsibility.

Your data and backups

  • Events you keep offline live only in your browser on your device. Clearing your browser’s data, changing device or a browser fault can delete them. Export a .chairplan file for anything you can’t afford to lose.
  • In cloud saves, names and personal details are end-to-end encrypted and only you hold the key. If you lose every passkey and your recovery code, we can’t recover them.
  • You’re responsible for the information you add about other people, such as guests’ names, contact details and dietary needs, and for having their permission or another good reason to use it.

Using an AI assistant

You can connect ChairPlanner to an AI assistant (see how). The assistant is provided by someone else, under its own terms and privacy policy, and what it says or suggests is its own, not ours.

  • Only give an assistant guest information you’re comfortable sharing with its provider; it sends the plan it’s working on to ChairPlanner to check.
  • Import links contain the plan, unencrypted. Anyone with a link can read it and we can’t revoke it, so share links with care.
  • The connector has size limits, and we may limit or block heavy or automated use to keep it available for everyone.

Free accounts and limits

Cloud features are free for now, within these limits per account: up to 2 events in the cloud, 3 layouts per event and 5 plans per layout, 5 active shares, and shares that expire within 3 months, plus generous caps on guests, tables, relationships and rules per event.

We may change these limits, and may offer paid plans with higher limits in the future. We’ll give reasonable notice before any change that would remove cloud data you’ve already saved. Offline use has no limits.

Acceptable use

Please don’t:

  • use ChairPlanner for anything unlawful, or to store content you don’t have the right to use;
  • use cloud saves or shares to store anything other than seating plans;
  • try to break, overload, probe or bypass its security, rate limits or bot protection;
  • create accounts automatically or in bulk, or use it to send spam.

We may suspend or delete accounts that are misused, and may limit or block traffic to protect the service.

Limitation of liability

To the maximum extent permitted by law, we are not liable for any indirect, incidental or consequential loss, or for any loss of data, events, plans, profits or opportunity, arising from your use of (or inability to use) ChairPlanner. Where our liability can’t be excluded but can be limited, it is limited to supplying the service again.

Your consumer rights. Nothing in these terms excludes, restricts or modifies any right or remedy you have under the Australian Consumer Law or any other law that can’t be excluded.

Your account

Accounts are optional. You can delete yours at any time from your account page; doing so removes your cloud copies but never the events stored on your devices. Keep your devices, passkeys and recovery code secure.

Changes and general

  • We may update these terms. We’ll change the effective date above and, for significant changes, let account holders know by email. Continuing to use ChairPlanner after a change means you accept it.
  • These terms are governed by the laws of Queensland, Australia.
  • If any part of these terms is unenforceable, the rest still applies.
