Help and support
Answers to common problems, and how to get in touch.
Contact
Email feedback@chairplanner.com for help, bug reports and ideas. I’m wondertroy, and I make ChairPlanner on my own in my spare time, so replies can take a few days.
To help me help you, include:
- what you were trying to do, and what happened instead (the exact error message if there was one);
- your device and browser (for example “iPhone, Safari” or “Windows, Chrome”);
- for AI assistant problems: which assistant or app you used, and roughly how many guests and tables.
Please don’t send guest lists, import links or share links unless I ask: they can contain your guests’ details. For privacy requests, use privacy@chairplanner.com.
Your events and backups
Where are my events saved?
In your browser, on the device you made them on. They don’t move to other devices or browsers by themselves, and private or incognito windows forget them when closed.
How do I back up an event or move it to another device?
Open the event’s Share tab and choose Export .chairplan file. Keep the file somewhere safe, or open it on another device with Import .chairplan on the homepage.
My events disappeared
Clearing your browser’s data (history, cookies or site data), some cleanup apps, or using a different browser or device can remove or hide them. If you exported a backup, import it again. Otherwise they can’t be recovered: ChairPlanner never had a copy.
AI assistant connector
Setup steps are on Use ChairPlanner with an AI assistant.
The assistant doesn’t show ChairPlanner’s tools
Check the connector is turned on for this conversation. After adding it or after an update, refresh the connection if your assistant offers that, then start a new conversation.
It asks me to sign in or for a token
ChairPlanner needs no account or key. Check the address is exactly https://chairplanner.com/mcp and that no OAuth or API key details were entered.
The import link doesn’t open, or says it’s damaged
Some chat apps shorten or change long links. Copy the link straight from the assistant’s answer, all of it, and don’t edit it by hand. If it still fails, ask the assistant to create the plan again and give you the link exactly as returned. Very large plans may keep failing; splitting the work into smaller steps can help.
It gave me a file instead of a link
Save it with the .chairplan filename it suggests, then use Import .chairplan on the homepage. Older .seatingplan files import the same way.
It says a rule can’t be met
Tell the assistant which rules are must-haves and which are only preferences. Must-have rules always have to pass, so it won’t quietly drop them.
Accounts and cloud saves
Accounts are optional and only needed for cloud saves and share links.
I can’t sign in with my passkey
Use Email me a code instead, then add a new passkey on your account page. If your account was deleted, its passkeys can’t be used any more; you can remove them from your password manager.
My cloud saves are locked on a new device
Unlock them with a passkey that’s linked to cloud saves, or with your recovery code. Your names and personal details are encrypted so that only you can read them, which also means they can’t be recovered without one of these. Your events on your other devices are unaffected.
A share link stopped working
Shares stop working when they expire, when they’re revoked, or when the event is taken out of the cloud. Ask the person who shared it for a new link.
