Use ChairPlanner with an AI assistant
Connect ChairPlanner to an AI assistant that supports MCP (Model Context Protocol), then plan by chatting. Your assistant can ask about your guests, tables and who should sit together, check a draft against your seating rules, and give you a link to open the plan here. You don’t need to know all the answers at the start.
Connect
ChairPlanner isn’t listed in assistants’ connector directories yet. Until it is, add it as a custom connector (sometimes called a custom MCP server or remote MCP server) using this address:
https://chairplanner.com/mcp- Connection type: Streamable HTTP (remote).
- Authentication: none. Leave any OAuth or API key fields empty; there’s no account to sign in to.
- Where to add it depends on your assistant, your plan and, for work accounts, your admin. Look for connectors, integrations or MCP servers in its settings. Menu names change, so check your assistant’s own help if you can’t find it.
- Command-line tools usually take the address directly, for example
codex mcp add chairplanner --url https://chairplanner.com/mcp.
Then start a new conversation, make sure ChairPlanner is turned on in its tools, and try one of the prompts below.
Things to ask
- “Help me make a seating plan for my wedding. I’m not sure where to start.”
- “Here’s my guest list. Seat couples together and keep my two uncles at different tables.”
- “We have 8 round tables of 10. Put the families with kids near each other.”
No connector? You can still copy a starter prompt from the homepage, or a prompt for an existing event from its AI agent tab, and paste it into an assistant that has ChairPlanner connected. Check the names and preferences it includes before you share it.
Review and import
- When the plan checks out, the assistant gives you an import link. Copy the whole link.
- Paste it into your browser’s address bar and check the preview.
- Choose Import as a new event. It’s added as a separate event, so it never overwrites one you already have.
- Review the seats and any preferences that couldn’t be met. Try Auto-arrange here for another option; it runs on your device.
The assistant doesn’t see changes you make here afterwards. Imported events are saved in this browser, like any other event: export a .chairplan backup of anything important.
Limits
- Up to 200 guests, 40 tables, 30 seats per table and 1,000 seating rules per plan.
- Very large requests can hit a 128 KB size limit.
- Some chat apps shorten or change long links, so bigger plans can produce links that don’t open. See support for what to do.
- A valid plan doesn’t check your venue’s capacity, safety, accessibility or physical table placement. You check the final plan.
Privacy
- Your conversation stays with your assistant’s provider, under its own terms and privacy policy. ChairPlanner doesn’t read it.
- When the assistant uses ChairPlanner, it sends the plan it’s working on (event name and date, guest names, tables, seats and rules) to ChairPlanner’s service on Cloudflare, which checks it and returns the result. The service doesn’t save plans, needs no account, and can’t see your events or cloud saves.
- Import links contain the plan itself, compressed but not encrypted. Anyone with the link can read the guest names in it, and we can’t revoke it. Share it only with people you trust, and don’t post it publicly.
Full details are in the privacy policy.
